2. Personal data processed by the parish

The membership administration contains various personal data about parishioners and their possible housemates (partner, children), such as names and address details. In this document, the parishioners are referred to as "data subjects".
The financial system contains certain financial information about church contributions and, if you pay church contributions, also your account number.
The parish magazine contains names and contact details of the pastors and various volunteers. It also contains photos of parish activities on which people can be recognized.

The church registers contain information about the sacraments (baptism, confirmation, marriage, ordination) performed in one of the church buildings of the parish.
Exactly which personal data is registered can be found above and in Article 5 of the General Regulations for the Protection of Personal Data for Parishes 2018. These regulations can be found at rkkerk.nl/avg.

3. The purpose of processing personal data

The parish registers personal data to record in church registers which sacraments someone has received. By this we mean in particular:
the registration associated with receiving the sacraments of Baptism, Confirmation, Holy Communion, Marriage and Ordination.
The registrations are required by Canon Law.
A parish is a community of parishioners, family of parishioners and people involved in the parish. The parish must keep records to ensure the organization of the parish community; By this we mean, for example:
registering your contact details to send information and invitations about parish activities via communication channels and;
keeping track of volunteer tasks and a registration of volunteers and;
maintaining financial records in connection with church contributions, donations and gifts and other fundraising activities, as well as financial records regarding burial rights and stipends.
A parish is part of the Roman Catholic Church. As a parish we are always connected to other Roman Catholics. church institutions in the Netherlands. As a parish we contribute to the maintenance and accuracy of the church membership administration and archives.
A parish has a parish archive. For example, the baptismal register is kept in the parish archives. The parish may also keep personal data in the archives as a source for historical, statistical or scientific research. The parish will only do this if it has an interest in the purpose of the archive.

4. The authority to process personal data

The parish may process special personal data, such as religious beliefs, on the basis of the dutch law (Article 9(2)(d) GDPR).
Other personal data may be processed by the parish on the basis of the parish's legitimate interest in:
registering its parishioners, the family members of its parishioners and people who are not members of the parish, but who maintain contact with the parish.
maintaining volunteer administration, financial administration, holding fundraising activities and maintaining church registers;
The execution of an agreement to which the data subject is a party;
The fulfillment of a legal obligation of the civil (for example the tax authorities, social services, police or justice) or church authorities;
The consent that the person concerned has given (for example by joining a working group as a volunteer or registering as a subscriber to the parish magazine or parish meeting).

5. Streaming and online broadcasting of church celebrations

Not all people who want to attend a church celebration can be present in the church. That is why video and audio recordings of the church celebration are made and broadcast online to enable these people to follow the celebration and join in the celebration.
The parish respects the privacy of church visitors. For that reason, the cameras have been adjusted to the choir. However, the parish cannot completely rule out the possibility that church visitors may not be visible at all and/or be heard on the audio recording.
The newsletter will indicate whether video and/or sound recordings will be made during the celebration.
If you want to avoid being in the picture, you can always ask a volunteer or parish employee where you can sit. Places have been reserved for this.
The broadcasts are online for a limited time. For more information about the rights of church visitors when processing personal data, please refer to the parish's privacy statement.
The parish uses the option of online streaming in the context of its church activities. As described under 1, there is a need to make recordings in which the privacy of church visitors is respected. To the extent that church visitors are recognizable in the picture, the parish has a legitimate interest in this. The parish has received permission from those who appear clearly recognizable in the choir.

6. Retention period

The parish stores personal data as long as a data subject is registered as a member of the parish. If you are no longer a member of the parish because you have moved to another parish, we will delete the personal data from the parish membership administration within one year.
The parish cannot remove personal data from church records (baptism records, etc.), because it is important to keep track of who has received church sacraments. The parishes follow the rules of Canon law.
The personal data stored in other files, such as the volunteer file, the file for the newsletter and/or parish magazine or the registration of contact persons in the cemetery registration, will not be kept longer than is necessary for the purpose of the file.
Sometimes we can no longer delete personal data, because removing it requires an exceptional amount of work from the parish. Data that cannot be deleted without unreasonable effort are, for example, personal data in printed issues of the parish magazine or information bulletin or, under certain circumstances, the parish archives.

7. Provision of personal data to third parties

Personal data is provided to - and largely comes from - church institutions that are part of the Roman Catholic Church. Church society in the Netherlands. Examples include other parishes, the diocese, IPAL (the interdiocesan platform for financial and membership administrations).
If you have an agreement with the parish, for example an employment contract or a donation agreement, certain information must be provided to the Tax Authorities or another government service on the basis of a legal obligation. You may be asked to enter your BSN on a (model) donation agreement.
The parish can employ a payroll office. The parish can also engage an external party for some services, for example for the management of the cemetery administration. In all these cases, the parish makes agreements with this third party about the security of your personal data in a processing agreement.

8. Security of stored personal data

Secure access to the membership administration system is limited to the membership administrators, the secretariat and the members of the parish board. Other people do not have access.
Secure access to the financial system is limited to the financial administrator(s) and members of the parish council. Other people do not have access.
Volunteers can receive files with personal data to the extent necessary for the performance of their duties (for example, the distribution of the parish magazine or the implementation of the Church Balance Campaign). They destroy these files as soon as they are no longer needed.

9. Right of access and correction

Every parishioner has the right to inspect the personal data stored about him/her. You can submit a request for this, accompanied by identification, to the parish secretariat. The contact details are listed at the top of this privacy statement.

10. Deletion of data

You can send a request to delete contact details, financial or other general personal data to the parish secretariat. The contact details of the parish secretariat can be found at the top of the privacy statement. The membership administrators or members of the parish board will process your request.
If you wish to deregister as a parishioner, we ask you to follow the applicable procedure for registration and deregistration R.-K. Church to follow. Information about this procedure and the form for it can be found on the website rkkerk.nl. Send this form to the parish secretariat. The contact details of the parish secretariat can be found at the top of this privacy statement. The parish membership administrators or members of the parish board will process your request.

11. Right to Complaint

Requests or complaints regarding the treatment of personal data can be sent by the person concerned to the parish council. The contact details can be found at the top of this privacy statement.
The person concerned will be notified in writing about the outcome of the submitted request or complaint.
If the parish council does not honor the request or complaint or only partially honors it, the person concerned can, if desired, submit a complaint regarding the dispute with the parish to the Dutch Data Protection Authority:
